Return and Cancellation Policy

This Return / Cancellation Policy applies to bookings, venue reservations, services, packages, event services, and other purchases made through m8hub.ro, by email, by phone, by message, or in person.

1. Consumer statutory withdrawal rights

Consumers may have a 14-day statutory right to withdraw from certain distance contracts without giving a reason.

However, this right may be excluded or limited in several cases, including:

  • Services related to leisure activities provided on a specific date or during a specific period;
  • Venue bookings for a specific date or time;
  • Services that have been fully performed with the consumer’s prior express consent and acknowledgement that the right of withdrawal would be lost after full performance;
  • Custom or personalized services, where applicable under law.

Because m8 hub services often involve venue access, event services, or bookings for specific dates and time slots, the statutory withdrawal right may not apply to many confirmed bookings.

Where the statutory right of withdrawal applies, you may exercise it according to Section 9 below.

2. m8 hub cancellation or rescheduling

If m8 hub cancels a confirmed booking for reasons not caused by the client, the client will be offered one of the following options:

  1. A full refund to the original payment method, where possible;
  2. A credit for future use; or
  3. A transfer to another available date, time, or service.

If m8 hub needs to reschedule due to operational reasons, safety issues, venue problems, legal restrictions, or force majeure, we will contact the client as soon as reasonably possible.

3. Client cancellation — standard venue bookings

Unless otherwise agreed in writing or stated in the booking confirmation, the following standard cancellation rules apply:

  • More than 7 calendar days before the booking: Eligible for reschedule, credit, or refund, minus any non-refundable third-party costs already incurred.
  • Between 3 and 7 calendar days before the booking: Eligible for reschedule or credit at m8 hub’s discretion. Third-party, vendor, catering, staffing, or preparation costs may be deducted.
  • Less than 72 hours before the booking: Usually non-refundable. Rescheduling or credit may be offered at m8 hub’s discretion.
  • Same-day cancellation or no-show: Non-refundable.

These are default rules. Custom offers, private events, larger bookings, catering orders, vendor services, and special setups may have stricter cancellation terms.

4. Custom events, catering, and third-party services

For custom events, company gatherings, catering, workshops, presentations, or services requiring preparation, the following may be non-refundable once confirmed:

  • Catering orders;
  • Vendor deposits;
  • Staff costs;
  • Custom setup costs;
  • Rented equipment;
  • Purchased materials;
  • Special logistics;
  • Design, planning, or coordination work already performed.

If a booking includes third-party costs, those costs may be deducted from any refund or credit, even if the client cancels within an otherwise refundable period.

5. Rescheduling

Rescheduling is subject to availability.

m8 hub may allow one reschedule without additional charge if requested sufficiently in advance.

Additional rescheduling requests, late changes, or changes requiring new vendor coordination may involve additional fees.

If the rescheduled booking has a higher price, the client must pay the difference.

If the rescheduled booking has a lower price, the difference may be provided as credit at m8 hub’s discretion unless otherwise required by law.

6. Packages and prepaid credits

If m8 hub offers prepaid packages, credits, coworking days, meeting bundles, or event packages, the following rules apply unless stated otherwise:

  • Packages must be used within the validity period shown at purchase;
  • Unused sessions, hours, credits, or services expire after the validity period;
  • Package bookings are subject to availability;
  • Late cancellation or no-show may result in the used credit being forfeited;
  • Packages are not transferable unless approved in writing by m8 hub;
  • Packages are not redeemable for cash unless required by law.

7. Deposits and balance payments

For some bookings, m8 hub may require a deposit to reserve the date and time.

Unless otherwise agreed in writing:

  • The deposit confirms the booking;
  • The remaining balance must be paid by the agreed deadline;
  • Failure to pay the balance may result in cancellation of the booking;
  • Deposits may be non-refundable if the client cancels late, causes costs, or blocks availability that could not reasonably be resold.

8. Refund processing

Approved refunds are usually processed within a reasonable period after approval.

If payment was made by card, refunds will normally be made to the same card or payment method used for the original transaction, where possible.

Banking or card processing times may vary depending on the payment provider, card issuer, or bank.

Because ARYA LINK S.R.L. is not registered for VAT, refunds will relate to the actual amount paid, with no VAT component.

9. How to cancel or request a refund/credit

To cancel, reschedule, or request a refund or credit, contact:

Please include:

  • Your name;
  • Company name, if applicable;
  • Booking reference or invoice number;
  • Booking date and time;
  • Reason for cancellation or change;
  • Preferred outcome: refund, credit, or reschedule.

We will normally respond within 72 hours.

10. Model withdrawal form

If you are a consumer and you have a statutory right of withdrawal, you may use the model below:

11. Effects of valid withdrawal

If a valid statutory withdrawal is made, we will refund the eligible payments received from you within 14 days from the date we are informed of your withdrawal.

Refunds will normally be made using the same payment method used for the original transaction, unless otherwise agreed.

We may deduct amounts for services already provided, where permitted by law and where the consumer requested service performance before the end of the withdrawal period.
