1. Who we are

The website m8hub.ro is operated by:

m8 hub is a boutique private venue and business space in Bucharest, available for meetings, workshops, private company gatherings, presentations, team days, curated events, coworking by request, and related support services.

2. Scope and acceptance

These Terms apply to all bookings, purchases, venue reservations, packages, event services, meeting room reservations, workshops, and other services purchased or requested through m8hub.ro, by email, by phone, by message, or in person.

By submitting a booking request, making a payment, confirming an offer, or using the venue, you accept these Terms.

If you book on behalf of a company, team, client, organization, or group, you confirm that you are authorized to accept these Terms on their behalf.

For online checkout, where applicable, acceptance of these Terms may be required via a checkbox before payment.

3. Our services

m8 hub may offer, depending on availability:

• Private meeting room bookings;
• Workshop and presentation space;
• Small company gatherings;
• Team days and offsite sessions;
• Curated business events;
• Coworking by request;
• Room setup and layout preparation;
• AV and presentation support;
• Coffee, water, snacks, and hospitality services;
• Catering coordination;
• Event hosting and logistics support;
• Custom venue packages.

Specific services, capacity, inclusions, availability, and prices will be shown on the website, in the booking confirmation, or in a custom offer sent by email.

4. Pricing

Prices are displayed in RON, unless otherwise stated.

ARYA LINK S.R.L. is not registered for VAT. Therefore, prices are not subject to VAT and VAT is not added to invoices, unless the company’s VAT status changes in the future.

Prices may vary depending on:

• Date and time;
• Booking duration;
• Number of guests;
• Type of event;
• Required setup;
• Catering or hospitality requirements;
• Additional services;
• Custom logistics or staff support.

Unless clearly stated otherwise, prices shown on the website do not include optional add-ons, catering, external vendor costs, special equipment, overtime, damages, excessive cleaning, or additional services requested after booking.

The final applicable price is the price confirmed at checkout, in the booking confirmation, or in the written offer accepted by the client.

5. Booking, contract formation, and confirmation

A booking may be made through the website, by email, by phone, by message, or directly with m8 hub.

A booking is considered confirmed only when:

1. m8 hub confirms availability; and
2. the client accepts the offer or completes the booking process; and
3. the required payment, deposit, or written confirmation is received, where applicable.

For online bookings, a contract is formed when m8 hub sends a booking or order confirmation by email.

If you do not receive a confirmation within 24 hours after payment or booking submission, please contact contact@m8hub.ro.

m8 hub reserves the right to refuse or cancel bookings that are inappropriate for the venue, unsafe, illegal, misleading, or incompatible with the venue’s intended use.

6. Payment methods and processing

Available payment methods may include:

• Online card payment;
• Bank transfer;
• Cash payment, where legally permitted;
• Other payment methods shown at checkout or agreed in writing.

If online card payments are available, they may be processed by NETOPIA Payments or another authorized payment processor. Card details are handled by the payment processor. m8 hub does not store full card details on its own servers.

Payment terms, deposits, balance payments, and due dates will be communicated at checkout, in the invoice, or in the written offer.

If payment fails or is not received by the agreed deadline, the booking may not be confirmed or may be cancelled.

7. Invoices and receipts

Invoices are issued according to Romanian fiscal legislation.

To request an invoice, the client must provide accurate billing details, including company name, CUI, registered address, email address, and any other required information.

Because ARYA LINK S.R.L. is not registered for VAT, invoices will be issued without VAT, unless the company’s VAT status changes in the future.

For individual clients, fiscal receipts or invoices may be issued according to applicable law.

8. Access to the venue

The venue is located at:

Access details will be provided before the booking or event.

Clients and guests should arrive at the agreed time. Early access, setup time, dismantling time, and overtime must be agreed in advance.

The client is responsible for ensuring that all participants, guests, vendors, speakers, and contractors comply with venue rules, safety requirements, and staff instructions.

9. Venue rules and client responsibilities

The client agrees to:

• Use the venue responsibly and only for the agreed purpose;
• Respect the agreed capacity and schedule;
• Avoid excessive noise, nuisance, or disruption to neighbors;
• Comply with Romanian law and public order requirements;
• Not bring illegal, dangerous, or inappropriate materials into the venue;
• Supervise guests and third-party vendors;
• Leave the venue in reasonable condition;
• Report any damage, incident, or problem immediately;
• Pay for damages, missing items, excessive cleaning, overtime, or additional costs caused by the client, guests, vendors, or contractors.

Smoking, open flames, hazardous materials, illegal substances, and activities that may damage the venue are prohibited unless expressly permitted in writing where legally possible.

m8 hub may stop or refuse an event if it creates safety risks, legal risks, serious disturbance, property damage, or reputational harm.

10. Catering, vendors, and third-party services

m8 hub may assist with catering, coffee, snacks, hospitality, technical setup, vendors, or logistics.

Unless otherwise stated, third-party services are provided by independent suppliers. m8 hub is not responsible for delays, quality issues, allergens, dietary restrictions, or other failures caused by third-party suppliers, except where mandatory law provides otherwise.

Clients must inform m8 hub in advance of any allergies, dietary requirements, accessibility needs, special equipment requirements, or other relevant conditions.

External vendors may only be used with m8 hub’s prior approval.

11. Changes, cancellation, and rescheduling by m8 hub

m8 hub may cancel, relocate, or reschedule a booking for operational reasons, safety reasons, legal reasons, venue issues, payment issues, or force majeure.

If m8 hub cancels a confirmed booking for reasons not caused by the client, the client will be offered one of the following:

1. A full refund of the amount paid for the cancelled booking;
2. A credit for future use; or
3. A transfer to an alternative date, time, or service.

m8 hub is not liable for indirect losses, lost profits, travel costs, third-party costs, or consequential damages, except where mandatory law provides otherwise.

12. Client cancellations and rescheduling

Cancellation and rescheduling terms may vary depending on the type of booking, event, package, or custom agreement.

Unless otherwise agreed in writing:

• Cancellations made sufficiently in advance may be eligible for a credit, refund, or reschedule;
• Late cancellations, partial attendance, reduced guest count, or no-shows may not be eligible for refund or credit;
• Custom packages, catering, special setup, third-party services, and reserved vendor costs may be non-refundable once confirmed.

The specific cancellation terms applicable to each booking are described in the Return / Cancellation Policy and may also be shown in the booking confirmation or accepted offer.

13. Consumer right of withdrawal

Consumers may have a 14-day statutory right of withdrawal for certain distance contracts under EU and Romanian consumer law.

However, this right may not apply to:

• Services related to leisure activities provided on a specific date or during a specific period;
• Venue bookings for a specific date or time;
• Services fully performed with the consumer’s prior express consent and acknowledgement that the withdrawal right will be lost after full performance;
• Custom services, where applicable under law.

Where the statutory right of withdrawal applies, the consumer may exercise it according to the Return / Cancellation Policy.

14. Health, safety, and liability

Clients and guests use the venue at their own responsibility and must follow staff instructions and safety rules.

m8 hub is not liable for:

• Loss, theft, or damage to personal belongings;
• Damage caused by guests, vendors, or third parties;
• Injuries caused by misuse of the venue, negligence, alcohol consumption, unsafe behavior, or failure to follow instructions;
• Indirect losses, lost profits, business interruption, or reputational damage.

Nothing in these Terms limits liability where such limitation is not permitted by law, including liability caused by gross negligence or willful misconduct.

15. Photos, video, and event content

The client is responsible for obtaining any necessary consent from guests, speakers, employees, contractors, or participants if photos, video, audio recording, livestreaming, or media capture takes place during the event.

m8 hub may only use identifiable photos or videos of clients or guests for marketing purposes where appropriate consent has been obtained, unless another lawful basis applies.

16. Intellectual property

All website content, branding, photos, layouts, materials, service descriptions, designs, and documents created by or for m8 hub are owned by ARYA LINK S.R.L. or used under license.

You may not copy, reproduce, distribute, or commercially use such materials without prior written permission.

The client remains responsible for any content, materials, presentations, music, software, branding, or media used during their event and confirms they have the necessary rights and permissions.

17. Complaints and dispute resolution

We will try to resolve the issue directly and in good faith.

Consumers may also contact the Romanian National Authority for Consumer Protection, ANPC, or use the Alternative Dispute Resolution procedure available through ANPC, according to applicable law.

The EU Online Dispute Resolution platform was discontinued in 2025, so no ODR platform link is provided.

18. Governing law and jurisdiction

These Terms are governed by Romanian law.

Any dispute arising from these Terms shall be subject to the competent Romanian courts. Unless mandatory law provides otherwise, disputes will be handled by the courts of Bucharest, Romania.

19. Changes to these Terms

m8 hub may update these Terms from time to time.

The current version will be published on m8hub.ro with the effective date. Material changes affecting existing confirmed bookings may be communicated by email where appropriate.
